No.6/2017 - Digitisation of Records

OFFICE CIRCULAR No. 6/2017

DATE:   6 DECEMBER 2017

CIRCULAR MEMORANDUM: 6/2017

DISTRIBUTION:  GENERAL

SUBJECT: DIGITISATION OF RECORDS

The purpose of this Circular is to notify you of impending changes to the way the Department of Primary Industries, Parks, Water and Environment (DPIPWE) and Land Tasmania houses records in the Lands Building at 134 Macquarie Street in Hobart.

DPIPWE is introducing a contemporary, digital method of working and this includes digitisation of a wide range of Land Tasmania paper records currently stored in the Lands Building. Work has commenced on a project to scan, compile and index the Registry of Deeds with the aim for documents to be available in the future via online access.

The digitisation process will commence from mid-December 2017, completing by May 2018.  Deeds Indexes are expected to be available online in February 2018, with the remaining Deeds Memorials accessible online by July 2018.

The Project will deliver digital copies of over 1.5 million records, allowing more convenient and instant access through The LIST.

It is important to note that the Deeds Office in the Lands Building will remain accessible during digitisation.  However, not all documents may be available for search.  Please contact Richard Fielding by email at Richard.Fielding@dpipwe.tas.gov.au for availability. Land Tasmania is committed to supporting its clients accessing these records for property transactions and will provide staff escorted access to the Deeds Office during the digitisation period, to ensure the safety of clients as records will be boxed in preparation for their relocation to the Tasmanian Archives and Heritage Office for long-term preservation.

For the general public undertaking family history research, limited access will be available by appointment.  Please email titles enquiries at Titles.Enquiries@dpipwe.tas.gov.au for available times.

If you have any questions about the digitisation process, please contact the Project Manager Anita Yan on (03) 6165 4128 for further information
